Executive Assistant at Automattic

Automattic, the tech powerhouse behind WordPress.comTumblrWooCommerceJetpack, and other leading open source web applications, is looking for an Executive Assistant to support our Head of Product as we continue to grow and expand into new creative frontiers.

About This Role:

This is more than a traditional executive assistant position. You’ll be the operational backbone for one of our most critical leadership roles, ensuring seamless coordination across teams, projects, and priorities in our dynamic, remote-first environment. The ideal candidate thrives on variety, embraces challenges both big and small, and understands that exceptional support enables transformative product work. You’ll work in a fast-paced, globally distributed company where communication truly is oxygen and your organizational skills will directly impact how we build products used by millions worldwide.

Responsibilities:

  • Provide comprehensive executive support, including calendar management, travel coordination, and expense handling.
  • Create and manage executive-level communications with minimal direction.
  • Coordinate complex projects across multiple teams and time zones.
  • Handle confidential and sensitive matters with complete discretion.
  • Anticipate needs and proactively solve problems before they impact priorities.
  • Facilitate communication between the Head of Product and internal/external stakeholders.
  • Manage multiple concurrent tasks while maintaining exceptional attention to detail.
  • Support strategic initiatives and special projects as needed.

Requirements:

  • Bachelor’s degree or equivalent experience.
  • Minimum 5 years supporting executive-level management in administrative roles.
  • Superior written and verbal communication skills with executive-level experience.
  • Proven ability to remain calm under pressure and handle changing priorities.
  • Strong project management capabilities and technical proficiency.
  • Experience working in high-paced, action-oriented environments.
  • Proficiency with calendaring, expense, and travel management tools.
  • Exceptional organizational skills balanced with flexibility and adaptability.
  • High level of integrity and ability to handle confidential information.
  • Self-starter mentality combined with strong collaborative skills.
  • Personal commitment to delivering high-quality work consistently.

Salary range: $70,000 - 110,000 USD. Please note that salary ranges are global, regardless of location, and we pay in local currency.
