Responsibilities
- Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements efficiently.
- Coordinate various projects by tracking deadlines, preparing reports, and liaising with internal teams to ensure timely completion.
- Provide executive administrative support including drafting correspondence, proofreading documents, transcribing meetings, and preparing presentations.
- Handle complex phone etiquette on multi-line phone systems, screening calls, taking messages, and directing inquiries appropriately.
- Oversee office management tasks such as filing, data entry, bookkeeping with QuickBooks, and maintaining organized records.
- Assist with event planning for corporate meetings or special functions by coordinating logistics, managing invitations, and ensuring all details are executed flawlessly.
- Support personal errands or tasks as needed while maintaining strict confidentiality and professionalism.
Requirements
- Proven experience as an executive personal assistant or in a similar administrative role supporting senior leadership.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and office management tools like DocuSign.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent typing speed combined with meticulous proofreading and transcription abilities.
- Experience with bookkeeping software such as QuickBooks and basic data entry tasks.
- Exceptional communication skills including phone etiquette and customer service experience.
- Familiarity with project coordination, event planning, clerical tasks, filing systems, front desk responsibilities, and multi-line phone systems is highly desirable.
