Virtual Assistant - Fruition Builders

The Virtual Assistant is responsible for enhancing Richard's effectiveness by performing a wide variety of administrative, coordination, and operational support functions — remotely and independently. This role starts at 7–10 hours per week and is designed to grow in scope and hours as trust builds. You will be Richard's right hand, helping keep a fast-moving custom home building business running like a precision build.

Responsibilities

  • Serve as inbox manager — handle emails, client correspondence, and follow-up systems on Richard's behalf
  • Maintain a complex and frequently changing calendar; schedule all internal and external meetings, calls, and appointments
  • Coordinate all aspects of project scheduling — subs, vendors, timelines, and site prep
  • Prepare and format proposals, documents, and client-facing materials for Richard's review and approval
  • Manage digital file organisation across Dropbox and Google Drive, including permits and project documentation
  • Handle bookkeeping admin — invoices, receipt organisation, QuickBooks support, and P&L prep
  • Update and maintain CRM, project tracking tools, and dashboards
  • Nurture leads through follow-up emails, referral outreach, and pipeline tracking
  • Build and maintain SOPs, workflow templates, and process documentation
  • Execute social media scheduling and basic content uploads as directed
  • Handle confidential business matters with discretion and professionalism
  • Provide a bridge for smooth, accurate communication between Richard and subcontractors, clients, and vendors

Requirements

  • Proficient in email platforms (Gmail or Outlook), Google Workspace, and Dropbox
  • Experience with scheduling tools and calendar management
  • Familiarity with QuickBooks or similar bookkeeping tools (a strong plus)
  • CRM experience and comfort with project tracking tools
  • Excellent written communication, follow-through, and attention to detail
  • Ability to work independently and self a manage in a fully remote environment
  • Minimum 1 year of experience as a Virtual Assistant or in a comparable administrative role

  • Experience in construction, real estate, or project-based industries is a strong plus — but not required
