The Virtual Assistant will serve as a key support role across multiple areas of the organization, including telehealth operations, marketing, communications, and executive assistance. This position requires strong organizational skills, discretion, and the ability to manage multiple tasks efficiently.

Familiarity with healthcare environments and an understanding of HIPAA compliance is strongly preferred.

Responsibilities

Telehealth & Administrative Support

  • Assist with scheduling and coordination of telehealth appointments
  • Support provider and team calendar management
  • Help organize internal documentation and workflows
  • Assist with onboarding and administrative processes
  • Maintain organization of digital files and systems

Email & Communication Management

  • Monitor and manage business email inboxes
  • Prioritize and respond to routine inquiries (non-clinical)
  • Flag important messages for executive review
  • Ensure timely and professional communication follow-ups

Marketing & Social Media Support

  • Assist with managing and scheduling social media content
  • Support content posting across platforms (Instagram, Facebook, TikTok, etc.)
  • Help organize marketing campaigns and content calendars
  • Research trends and assist with engagement strategies
  • Coordinate basic branding and promotional materials as needed

Executive & Personal Assistant Tasks

  • Manage executive calendars and scheduling
  • Assist with travel arrangements and bookings
  • Handle personal errands and task coordination as assigned
  • Provide day-to-day operational support to ensure tasks are completed efficiently

Requirements

  • Prior experience as a Virtual Assistant, Executive Assistant, or Administrative Assistant preferred
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Comfortable using Google Workspace, email platforms, and social media tools
  • Ability to work independently with minimal supervision
  • High level of discretion and confidentiality required
